Accepting payments
Deer Track collects payments through Stripe. Your client pays and the money lands directly in your own bank accounton Stripe’s normal payout schedule — Deer Track never holds or routes client funds.
Connect Stripe
Open the settings gear → Payments and choose Connect with Stripe. You’ll sign in to Stripe (or create an account) — about five minutes for an existing Stripe user, longer if it’s your first time and Stripe needs to verify your business. You get the full Stripe dashboard, where you handle payouts, refunds and disputes.
Two things to know: only the organization owner can connect Stripe, and online payments are switched on account by account — if the Connect with Stripebutton isn’t active yet, it’s being turned on and everything else in Deer Track works in the meantime.
Bill a client with an invoice
Payments go out as invoices. Open Invoices (under More) → New invoice. You can Start from an opportunity to prefill the client and pricing, choose to bill the Total or Per person, add line items and a Tax %, then Create draft invoice.
Take a deposit or instalments
In the invoice form, the Deposit control lets you take None, a % of total, or a Fixed amount now with the balance later. That creates a payment scheduleon the invoice, so both you and the client can see what’s due when.
Send it and share the pay link
Open the draft and hit Send. If the client’s email is on file, Deer Track emails them; either way a Pay link appears that you can Copy and share. They pay through Stripe, and the invoice moves through draft → sent → partially paid → paid.
Where the money goes
Payments land in your bank on Stripe’s payout schedule, and you manage refunds and payouts from your Stripe dashboard. Your Deer Track subscription is billed separately — Stripe here is only for collecting your clients’ booking payments.
