A deposit of 25% (€2,267.50) is due within 7 days of booking to confirm your trip. The balance of €6,802.50 is due 60 days before departure, on Tue, 13 April 2027.
Your payment schedule has one job: the client’s money should arrive before your suppliers’ deadlines. List the deposits and balances your hotels, guides and transport want, then set your own dates a week or two ahead of each — the calculator does the dates and amounts once you have decided.
The whole method — matching supplier deadlines, cancellation scales, currency and card fees, chasing late balances — is in deposits and payment schedules for tour operators.
In Deer Track an invoice carries the deposit and the balance as separate instalments with their own due dates, each paid by card on a branded payment page — into your own Stripe account, with no platform fee.
Commonly 20–30% of the trip price, enough to cover the supplier deposits you pay on the client's behalf plus your own work. Set it from your suppliers' terms: if hotels want 30% at booking, a 20% client deposit leaves you funding the difference.
Commonly 45 to 90 days before travel, a little earlier than your own supplier balances fall due, so the client's money arrives before you have to pay. Many operators use 60 days.
Take the full price on booking. If the trip starts in 40 days and your balance is due 60 days before travel, the balance date has already passed, so there is nothing to split. The calculator switches to a single full payment automatically.
In the EU and UK, package organisers must protect client money against insolvency under the Package Travel rules, and some countries require trust accounts or bonding. The rules differ by country — check yours with your trade association or a lawyer.
